Amazing thing, overwhelm!

You don’t usually see it coming. It just kind of creeps up on you, doesn’t it?

Even those of us who love juggling a million projects at a time get overwhelmed once in a while. And if you’re happiest with just a couple of projects on your plate? You might be looking at overwhelm a bit more often.

No matter how we like to work, I’d be willing to bet that all of us have been there at least a couple of times. And that we didn’t much enjoy it….

So today I’ll be sharing some practical ways to get out of overwhelm – fast – the next time you’re right smack in the middle of it.

SO WHAT, EXACTLY, IS OVERWHELM?

Overwhelm is not having too many projects on your plate. It’s not getting a really tough assignment. It’s not having to juggle several things at once. Overwhelm is not being uncertain about where to head next.

Overwhelm isn’t about the “what.” It’s about you.

No matter how many, or how crazy the projects you’re working on, they’re only a problem when you feel out of control … or overwhelmed.

So what happens when you’re overwhelmed? It’s a bit different for everyone, of course. But overwhelm does come with some fairly common side effects.

Take a minute to think of the last time you felt overwhelmed. Which of the following did you experience:

• Physical reaction: upset stomach, headache, tiredness, sleeplessness, lack of energy, wired, etc.

• Mental activity: lots of ideas, pros and cons, worries, plans, possibilities, etc. bouncing around in your head

• Emotional reaction: upset, angry, sad, worried, irritable, detached, needy, etc.

However different our physical, mental, or emotional reactions to overwhelm, we usually end up in one place: stuck!

Which brings us to the next part of this article…

ONCE YOU’RE STUCK IN THE MIDDLE OF OVERWHELM, HOW THE HECK DO YOU GET OUT OF IT?

Well, there’s no easy answer to this one.

I think the best strategy is to have lots of strategies. Then, when you’re totally stuck, you can hopefully reach out and find something that’ll work for you!

So here goes….

1 – Do something! Anything.

Find one thing that you can do, right away, to get one of the projects moving – and do it.

The key here is that It doesn’t have to be a big thing, or an important thing. Just take one small step, right away.

Choose the pen you’ll write that article with. Turn on your computer. Fill your water pitcher. Anything you do will help get you out of overwhelm, and into action

2 – Stop at three

I love to have lots of things on my plate. So one of the ways I used to get overwhelmed was to start too many projects at once.

Now (well, most of the time…) I’ve learned to limit myself to a maximum of three big projects at a time.

If there are more than three things I really want to work on, I choose three to start – and tuck the rest away in my “idea box.”

Two benefits from this one.

First, I can avoid overwhelm by limiting the number of projects I’m working on at any one time.

Even better, I always have something to look forward to. And that’s a great incentive for me to finish my active projects!

3 – Prioritize

Hey, I know, I know. When you’re overwhelmed, prioritizing your projects may seem next to impossible.

So I’m not suggesting that you work out your priority list for the next several months – or even then next couple of days.

Keep it simple.

Just decide which project you’re going to tackle first. You don’t have to actually do anything. Just decide what you’ll do first.

You’ll be totally amazed at how much energy that’ll free up for you!

4 – Toss something off your list

Which projects can go?

Someone once suggested a rule to me that’s worked pretty well, so I’ll share:

Every project you work on should have at least three benefits to you or your business.

For example, this newsletter helps me build the smART artist community, and it gives me the opportunity to write regularly (I love to write, so that’s a personal benefit).

It’s a great way to share information with fellow artists.

And the newsletter also provides a forum for announcing whatever new stuff I’m working on.

So those are my three (okay, four…) benefits.

Next time you’re overwhelmed, look at the projects on your list. Which will benefit you in at least three ways? They’re the keepers.

And the projects that don’t have three benefits? Toss ’em!

Once you’re out of overwhelm, come back to the projects you put aside, and see if you’re perfectly happy without them – or if you’d like to tweak them so they do have three benefits for you.

5 – Come back from the future

Ever notice how overwhelm is usually all about the future?

What you’ll do after…

What’ll happen when…

How you’ll feel if you can’t…

How horrible it’ll be if you don’t…

How soon they’ll find out that you…

Stop, stop, STOP!

Take a deep breath, and get a feel for where you are now.

Where are you sitting? What’s around you? Are there any particular sensations in your body? Are you warm, or cool? Can you see outside? Are you alone? With others?

Notice what’s going on right now. In this moment.

And from this space, think of the projects you’d like to work on. (Chances are they’ll be a lot less scary, and not at all overwhelming.)

Search Engine Optimization For Dummies

Many people have said to me that they can’t afford to employ a SEO company, but they would still like to get better search results on Google, Yahoo and MSN searches. Are there any basic rules that they can follow to improve their ranking on search engine results pages (SERPs)? In response to this question, here are some basic things that people who have coded their own web sites can do to make the web pages more spiderbot friendly and so more attractive for search engines to crawl.



Let’s start with the actual information on the home page of the web site. What is the first thing that a spiderbot will see when it crawls your web site – complex graphics, tables of information that do not directly relate to your products or company, or does it see some well-written, grammatically correct text? We have found that the first 100 words on a web site are of particular interest to spiderbots, and a lot of emphasis is now placed by them on what is found there. This is the place to put your key words, what search words and phrases do you want to be found under.



But what about key words in the Meta tag statement? This was a great idea, but unfortunately became abused by people doing key word stuffing. Look at you own site, what keywords do you have there. We would suggest that you consider putting up to 10 key words in the Meta tag, and these words should re-enforce the key words that you use in your actual text. I saw a site for buying property that repeated the words house sales a hundred times; do you think that fooled Google? Search engines are now trying to ensure that the content and key words the actual web surfer sees, relates directly to how the page is ranked.



On a similar theme, have you ever been to a web site that is very difficult to navigate and you end up giving up because it’s just too difficult to find the information you require. Well, think how the spiderbot feels when it hits such a site. Do you think it will spend time and effort trying to build a complex navigation map, or will it out the site it the too difficult pile and move on. Make your site easy to navigate; on a small site being able to access any page from any page is a useful concept.



This brings us nicely on to the whole question of Inbound Links (IBLs). Some sites have very few external IBLs, but still do well because of the structure and linkage of their own pages. Unfortunately, this can mean a fairly major redesign and re-write of a site but if you can do this, you will improve your visibility. Other ways of getting IBLs are link farms, reciprocal links and one-way links.



We believe that link farms are a dangerous way forward. Search engines do not like this idea as it cuts across the major concept of searches that they should reflect the true popularity of sites. Either now or in the future, sites using link farms will be penalised and maybe sandboxed, a bit like being sent to the sin bin for 6 months and not recommended.



Reciprocal links can again be seen as a false way of increasing the popularity of sites. Many high ranking sites use this idea and to date have not suffered. However Google and other search engines are starting to take the relevance of the linking site into account. So if you are a property company and you link to a frozen food supplier and vice versa, yes I’ve seen this one, then the search engines will ignore it as an IBL. We are aware that more sophisticated companies are using a 3-way reciprocal link procedure that is far more difficult to track. So 3 property companies work together, company A links to company B that links to company C that links to company A. So at the moment, the search engines probably cannot see the 3-way reciprocal links, although this may change in the future.



Update on Reciprocal links. The latest Google Dance (update) is taking place (end of October 2005) and many sites with lots of reciprocal links are saying that their Google search rating has disappeared. This leads us to believe that such links are definitely not a good idea.



By far the best way of getting links is by having a quality site that other people want to link to. So again, we are back to content. If you provide quality information, over time, more and more sites will link to you, and if they are in the same business sector as you, so much the better.



Finally, we would like to stress the need to write the cleanest and most error-free html code that you can. Again, it is fairly obvious if you think about it, spiderbots want to be able to crawl a web site quickly and efficiently. If you have bad html, links that are broken or tables that don’t have the correct number of entries, then spiderbots will struggle to classify your site. We have invested in a very sensitive html validator that picks up lots of errors and potential errors. To date we have not found any web sites that validate 100% error free using this validator, except our own. When I mentioned the validator in a previous article I was inundated with requests for information on the product, so if any one wants to try it, I have put up a 14-day free trial copy at http://www.seo-gurus.co.uk/csesetup.exe. Don’t be surprised if it throws up lots of errors, I have seen 200+ of many web site home pages, often with the same error replicated many times.



In summary, good clean readable text backed up by clean html programming and some good solid inbound links will give you a far better chance of good search engine rankings. So, if you do all of this, will you need a SEO company? If you can achieve all of the actions above, we believe you will have done about 40% of the work we would expect to do for a client. When I first heard of the term Viral Marketing I thought immediately of a virus. No, not the flu, a computer virus. I avoided viral marketing like the plaque. I’m sure many of you are doing the same thing. Every email labeled viral marketing got trashed and I immediately run an anti virus check on my computer.

It actually took me long time and the convincing words of a dear friend of mine to change my attitude towards viral marketing. Call it ignorance, but I just didn’t have the confidence in something that sounds like it wants to harm me.

Today my whole world changed and now I’m an active advocate to promote viral marketing. The concept is not new and it was created by the brightest minds in the business.

Viral marketing capitalizes in the sharing habits of the human beings. It’s quite extraordinary. We all tent to share with friends and family the bargains or freebies we were able to get. If we can copy the freebie we will do it and give it to our friends and family. Take the music industry as an example.

Ok, we established that viral marketing is giving out free stuff and that this free stuff will be passed around. So how do you capitalize on something everybody expects to get for free? You don’t. You just use the freebie as an advertising vehicle.

See, once you started giving out software or a book for free, it will snowball from there. Granted that the software is any good and the book provides some value. There is no telling on how many copies of your software or book will float through the internet. The only thing you now for sure, it takes some time to gain momentum.

Take Hotmail as an example. Hotmail build its empire solely on viral marketing. Every email you send had a little line at the end advertising free email from Hotmail. That’s it. No expensive marketing strategy, no TV ads, nothing but a little advertising line at the end of every email. It took years of building momentum, but today Hotmail is a giant pulling in billions of dollars every year.

I’m not expecting to repeat Hotmail’s success with my little viral marketing project, but I’m convinced that sooner or later the profits will come. It is simply a matter of time. All you need is a good product that you control and be able to give out for free. Make sure that you will be able to place your advertising on the front page of the product.

You can advertise your newsletter, your web site, products you’re selling, anything you will make a profit if somebody clicks through the advertising on the freebie. I spare you with the details why the same ad advertised through viral marketing is so much more effective than regular advertising.

Just one thought. Would you click on a single ad embedded in a software or book send to you by a friend you trust? Of course you would. There is nothing suspicious about this. It’s your friend who recommended this in the first place. On the other hand nobody actually clicks on advertising popping up on strange web sites you never heard of before.

Now you see why I like viral marketing so much. Quite frankly I believe in the future it is the only marketing that works. SPAM filters and popup blockers already make it almost impossible to get through to our prospects and it will not get any better.

Many stores offer coupons on their most popular items as a way to drive customer traffic into the establishment. Still other stores offer coupons on discount merchandise as a way to get rid of the old stuff and make way for new items. Either way, the benefits of coupons works for the customer in that the store, in their effort to bring you into their establishment, is trying to save you money. Following are four major reasons why the benefits of coupons cannot be discounted. With a little thought and effort, the benefits of coupons can easily be applied to your grocery list, resulting in lots of dollars worth of savings.

3. Buy in Bulk: Most coupons have a buy two, get three free or they advertise special prices for items in bulk. The benefits of coupons is that they provide a reason to stock up on the items you use the most at a time when you can save money doing it. This encourages you to buy more items from the store because you are saving money on each item bought.



4. Marketing: This is where the benefits of coupons come in handy for the retail store. Particularly if the store is the one issuing the coupons, it is a form of marketing. Not only does it contribute to the positive image of the store because of the discount and savings, but it also makes the name of the store more prominent on the shopper’s radar. They know to shop at Store X because that’s where their coupons are issued from and they know that’s where they can save money.



The benefits of coupons are numerous, but there are some things to keep in mind. Most coupons have an expiration date and there are usually stipulations for their use. You are often limited to a quantity of products you can purchase with the coupon and some coupons do not work in conjunction with any others. There are also many coupons that only work at specific stores, which is where the marketing advantage of coupons works best.



The benefits of coupons also works best when you carefully clip coupons to complement your shopping list and then go through each coupon to read through the individual stipulations to be sure you are able to use the coupon in conjunction with the other ones before you get the checkout line at the your local retailer. It also helps to match up coupons with what you have on your shopping list to save time at the grocery store and avoid unnecessary spending. After all, the benefits of coupons are meant to work as a money-saving factor for the consumer. If you are not prepared or haven’t figured out what you need, you will only end up spending more money in the end, therefore negating the entire benefits of the coupons.

A trade shows give away is a great ways to generate sales leads. At a trade show you find so many people who are interested in your product and just waiting for someone to catch their attention so they can buy it. People attend trade shows for different reasons. Some go to see what the competition is up to, some go to see the new developments; some go for the free stuff. However, most go because they have a legitimate interest in that field and need, or will need your product or service. All you have to do is catch their attention. Normally that would be easy but, you are in a room where a thousand other people are trying to do the same thing. Your trade show give away can help you be seen and considered.

Going to a trade show is often like going trick or treating. Someone gives you a bag and you go around to each booth and they give you a treat. Just like trick or treating some give good treats and other just give out tootsie-rolls. Your trade show give away can make or break you trade show success. A good trade show give away can work hard for you for many months to come or it can be thrown in the dumpster on the way out of the convention center. Below are a few ideas to help your company be successful at a trade show.

Know the Clientele

To be successful you have to know your clientele. Before you even start putting together your tradeshow sit down and figure out, who are your clientele, what makes them unique, what are their interests, what are their values, and what makes the tick. One of the best trade show give aways I have ever heard of was a small hydraulics company who gave away a balsa wood panel with the cutouts of several interchangeable airplane parts at an aerospace trade show. The engineers loved it because they could build their own planes with the interchangeable parts. This company was terribly successful because they took their clientele into consideration and found something simple that would appeal to their clientele.

Budget

Budget is another big factor in designing a trade show campaign. You need to know how much a lead is worth to you. It is critical that you keep your cost well below the profit per lead. This doesn’t mean that you can’t do something really cool. Even if you are on a low budget there are things that you can that will dazzle you potential clients, just be creative.

Make it Unique

Make it unique. It has to be memorable. Brochures are nice because the give the information but they are limited because the person has to be interested at that moment or he/she has to sort through all of the other pamphlets to find it. You can see how they could easily get lost in the mess. A unique gift will help them remember your company so that when they do have a need for your product they are more likely to remember you. Think of how memorable a company would be if they gave a rose with their logo printed on the petal. This works great as a trade show give away because it is memorable. With a gift like this, always give your potential client a way to contact your company like a website or phone number. This allows customers to find out more about your company after the trade show, even if they can’t find the brochure.

Finally, ask yourself if it has legs. My mother attended a flower show last summer. At the show Fed-ex was giving away a small battery powered fan and she picked up four. I still have that fan at my apartment. Is your give away something that will thrown away or given away? Will it be seen by more than just the person who receives it. Fed-ex got at least 10 people that I know of to see and handle their advertisement just because they offered it to my mother. Things that are around a while and are useful are seen by more people than you might realize.

Your trade show give away doesn’t have to be all of these things, but consider them before you decide what you want to give away. Remember a good give away will yield returns for many months, a bad one is just a waste of money.

Lead generation is a funny thing. It’s the lifeblood of any growing business, yet many approach it in a casual manner at best.

Consistently generating leads for your business takes momentum and momentum takes energy.

In my experience, lead generation energy is best created by effectively approaching your very well defined target market from several angles, advances and mediums.

Your multi-pronged attack should come just short of making them feel that you and your business are everywhere they want to go.

One way to accomplish this is through the carefree spending of bucket loads of money on advertising. It’s an approach that has actually worked for some, but I don’t recommend it for most small business owners.

A more effective small business lead generation machine, one that generates the greatest return on investment, is best created through the blending of targeted advertising, consistent public relations and a systematic approach to referrals.

This three prong attack is the stuff that momentum is built on.

Advertising

For most small businesses, direct mail is one of the best ways to target specific markets. The key to making small business direct mail, or any form of advertising, work is to use your advertising to gain marketing permission, before you try to gain a sale.

In other words, focus your advertising message on creating a lead. Make them an offer of a free report, seminar, evaluation, newsletter, or other low cost or no cost education message and let them begin to get to know you through this two step process.

The fact is you can’t really expect a prospect to make a buying decision about your product or service from the 127 words you can cram onto a postcard. You can however, get their attention with a free report that offers them 5,000 words of your expertise. Once they have consumed that, they will be primed and ready for your follow-up sales message.

Public relations

PR is a big field but for the sake of this article, I’m talking about two things – Getting nice articles about your firm in publications read by your target market and placing expert articles, written by you, in publications read by your target market.

If you aren’t doing both of these as part of your lead generation strategy, you are missing the boat.

When a prospect reads an article in a newspaper or magazine it carries much more credibility than an ad. The fact that someone else (the publication) thinks that you are great is a very strong endorsement.

Target the publications you want to appear in and then start to market to them. Read them, send information and notes to writers on staff, find out what guidelines they have for guest authors and start creating some positive PR to go along with your advertising.

Here’s a quick tip. Ask your best clients what publications they read and rely on the most. This can be a great way to find the best publications to advertise in as well. Every industry has dozens of trade publications, but only a few are actually read.

Referrals

It’s a good bet that a large percentage of your business came to you by referral. Cousin Louie liked what you did for him, so he told two friends and the rest history.

Referrals are a great way to build a business. Leads that come to you by way of referral generally cost nothing. Clients that come to you by way of referral are often your best clients.

Most small businesses get this, but few approach lead generation by way of referral in a systematic way. And, asking a few people if they know anybody that needs what you do is not a systematic referral approach.

Here are the steps in the system:

Target a referral source – this could be your clients, but often the best referral sources are actually strategic partners that also serve your ideal target client

Educate your referral source – Create a one page document that your referral sources can use to introduce what you do, how you do it and why they should consider having you do it for them. The biggest potential pitfall of a shoddy referral approach is that you get tons of leads that aren’t right for you.

Communicate a creative referral marketing offer – If you can create a game out referral lead generation everyone will want to play. Reward your referral sources in creative ways. Co-brand powerful information products and show your strategic partners how to use them.

Creative referral offers also make great news stories for your PR program.
